Privacy Policy
EasyFormX (“EasyFormX”, “we”, “us”) helps people who live outside the United States with ITIN applications, US LLC formation, business banking applications and US tax filing. This policy explains what personal data we collect, why, how long we keep it and the choices you have. EasyFormX is a private company. We are not the IRS, a government agency, a bank or a law firm.
1. Who we are

2. What we collect
- Contact details: name, email address, phone or WhatsApp number, country, and anything you write to us.
- Order details: the service you buy, the amount paid, your order number and the billing name and country. Card numbers are entered on Stripe’s secure checkout and never reach our servers.
- Application documents: when you become a client, the documents your application needs (for example a passport copy, proof of address, tax forms, company details) uploaded to our client portal.
- Eligibility check answers: the answers you give in our free check are used to show you a result on screen. They are stored only if you choose to email yourself the summary or send us a message.
- Website usage: pages visited, device and browser type, approximate location and referring site, collected through cookies and analytics (see section 7).
3. Why we use it
- To answer your questions, run your free check and book calls.
- To deliver the service you paid for: preparing Form W-7 and certifying your documents as an IRS Certifying Acceptance Agent, filing your LLC and EIN, preparing bank and payment applications, and preparing tax returns.
- To send receipts, status updates, reminders about deadlines and the information we are required to give you.
- To improve the website and our services, and to keep them secure.
- To meet legal obligations, including IRS acceptance-agent record-keeping rules and anti-fraud checks.
4. Who we share it with
We share personal data only where it is needed to deliver your service or where the law requires it:
- The IRS, state agencies and registered agents: to file your ITIN application, company formation, EIN or tax return.
- Banks and payment providers you apply to (for example Mercury, Relay, Stripe): only the details needed for the application you asked us to prepare.
- Service providers that run our systems: our client portal (TaxDome), payment processing (Stripe), email delivery, website hosting and analytics. Each provider may only use your data to provide its service to us.
- Professional advisers and authorities where required by law, a court order or to protect our legal rights.
We never sell personal data and we never send marketing on behalf of third parties.
5. Where your data is stored
Our client portal and most of our providers store data in the United States. By using our services you understand that your data will be transferred to and processed in the United States and in Bangladesh, where our team works. We choose providers with recognised security certifications (our client portal is SOC 2 compliant) and documents are transferred through encrypted connections, never by post.
6. How long we keep it
- Enquiries and free-check messages: up to 12 months after our last contact.
- Client files and application documents: for as long as needed to complete your service and then for the period required by IRS acceptance-agent rules and tax law, currently [X] years after the application or filing.
- Payment and invoice records: [X] years, as required for accounting and tax purposes.
- Analytics data: as set by the analytics provider, typically up to 26 months.
7. Cookies and analytics
The website uses strictly necessary cookies (for example to keep the checkout working) and analytics cookies set through Google Tag Manager and Google Analytics, which help us understand how the site is used. Analytics loads only after you start interacting with the page. You can block or delete cookies in your browser settings; the site keeps working without analytics cookies.
8. Your rights
Depending on where you live you may have the right to access, correct, delete or receive a copy of your personal data, to object to or restrict certain processing, and to withdraw consent. To use any of these rights, email billing@easyformx.com. We will respond within 30 days. If you are in the EU or UK you may also complain to your local data protection authority. Some data must be kept for the periods in section 6 even after a deletion request.
9. Security
Documents are uploaded and stored in an encrypted client portal with two-factor authentication available, access is limited to the team members working on your file, and we never ask you to send your passport by post or to share passwords by email or WhatsApp.
10. Children
Our services are for adults. We prepare ITIN applications for children only on the instruction of a parent or legal guardian, who provides the child’s documents.
11. Changes
We may update this policy as our services or the law change. The date at the top shows the current version; material changes will be announced on this page.
